What We Collect and Why
Identity and Access
When you sign up for Ekaav, we ask for basic personal information like your name, email, and optionally, your company name. This helps us personalize your experience, manage your account, and send you updates about our product or services. You can optionally upload a profile picture.
We may occasionally send surveys to improve our service or newsletters if you've opted in. You can unsubscribe at any time.
We do not sell your personal data and will never use your name or company in marketing without your consent.
Billing Information
If you’re on a paid plan, we collect billing details. Payment information is processed securely by our payment provider; we never store full credit card numbers. We do keep transaction records (e.g., last 4 digits, date, and amount) for history, invoices, tax, and support.
Content You Provide
All data (text, ratings, uploads, etc.) you input or upload to Ekaav stays securely stored in your account. It’s your data. We retain it for as long as your account is active. If you delete your account, we remove your content within 60 days.
Device & IP Information
We collect IP addresses when accounts are created and each time you log in, to detect fraud or abuse. We also log browser versions and operating systems for analytics and bug fixing.
Cookies & Website Analytics
We use cookies to provide essential functionality, personalize your experience, and run A/B tests or usage analytics. Cookies may include browser type, OS, visited pages, and time on site.
You can control cookies through your browser settings. Disabling them may affect how Ekaav works.
Voluntary Interactions
If you email us, we keep that correspondence to assist with your request and follow-up. If you participate in surveys, interviews, or other user research, we store your responses, with your consent.
When We Access or Disclose Your Information
With Your Permission
In rare cases — such as resolving a critical bug — our team may access your data. We’ll always ask for your consent first.
Subprocessors
We use trusted third-party services (e.g., hosting providers, analytics platforms, email delivery services) to operate Ekaav. These subprocessors help us provide a secure and reliable product. A list is available upon request.
Legal Requirements
If we are legally required (e.g., valid court order or subpoena) to disclose your data, we will comply. When possible, we’ll notify you unless prohibited by law.
Abuse Prevention
We may access your account if we believe it's being used to harm others, violate our terms, or distribute spam. This is a last resort, and we aim to protect all users in the process.
Aggregated or De-identified Data
We may use anonymized or aggregated data to improve our service or for business insights. This data does not identify you.
Your Rights
You have the right to:
- Access and correct your information
- Delete your data (subject to retention policies)
- Withdraw consent for marketing or optional features
- Port your data (export it from Ekaav)
- Lodge a complaint with your data protection authority
To exercise these rights, contact [email protected].
How We Secure Your Data
We take security seriously. Data is encrypted in transit and at rest. We apply industry-standard practices, including strong access controls, monitoring, and regular security reviews.
However, no online system is 100% secure. If we ever face a breach, we will notify affected users promptly and take action.
What Happens When You Delete Content
When you delete data within Ekaav, it is removed from the live database immediately. Backups are deleted within 60 days. Deleted data cannot be recovered after this point.
If you close your account, we will remove all your data from our systems within 60 days, including backups.
Data Retention
We retain account data as long as you maintain an active account. We delete inactive trial accounts after a period of inactivity (e.g., 12 months). Transaction and audit logs may be retained longer for legal or tax obligations.
Where Your Data Lives
Ekaav’s infrastructure is hosted in the United States. By using Ekaav, you consent to your data being stored and processed there.
For EU/EEA Users
When transferring data from the EU/EEA, we rely on standard contractual clauses or other approved mechanisms to safeguard your personal data. You have the right to request a copy of these safeguards.
Changes to This Policy
We may update this policy from time to time to reflect changes in our business or legal obligations. We will notify you of major changes via email or an in-app message. The “last updated” date will always show when this policy was last revised.
